Getting Started

The site has undergone some upgrades. These are designed to make the site quicker, easier to use and to reduce the number of steps it takes to complete an order. We recommend that you review the Web Site Basics answers for a more thorough review of the site capabilities. If you are a larger organization that wishes to have several people online but still retain control over the ordering process you may also wish to review the new capabilities covered in the Customer Administration area. This will review how this site could help you manage this process efficiently and effectively. Searching for Parts

Searching for parts is very easy on the Shop Now! site. In the upper right hand corner of every page is a box that allows you to key in a part number or any portion of the part number. For instance, if you key in RG5-2661, the system will bring back every part number that meets that criteria. If you enter the word “fuser” and then click Search, the system will return all parts that have the word “fuser” in the description, up to 200 items.

If you know the type of part you are looking for, you may also click on the “Search by Model” button along the left side of the screen, then choose the printer model and the sub-assembly where the part is located. There are also quick reference links to maintenance kits, fusers, and service manuals here.

If you know the part number you are looking for, click on the “Products” link on the blue bar across the screen and access our “Printer Part Search” page. Here you can search by Part Number or by Model and the system will return up to 200 items.

Parts Now! has the largest inventory of printer parts in the industry. That means excellent availability for you, but it also results in a very short wait if your search criteria is open ended. For instance, if you search for “HP”, the system will be processing thousands of items for the part you are looking for. The more specific your search criteria, the fewer items will be returned back and the faster you will be able to find your information.

In addition to carrying a wide range of parts, Parts Now! offers variety when it comes to purchasing options. The various options are color coded on the pages and a description of the item is shown as well. These options are also denoted by the suffix (the last couple of letters or numbers) of the part number. The following is a list of the suffixes you may come across and what they mean:

Placing an Order

Orders received by Parts Now! by 6 p.m. CST will be processed and shipped same day. However, due to connection problems or variances, orders submitted near the deadline may not actually be received by 6 p.m. CST. Therefore, we cannot guarantee your order will be received and shipped same day even if you send it prior to 6 p.m. CST.

Yes. The system will give you a confirmation number upon successfully submitted an order. An email will be sent out short thereafter that also confirms the order contents and refers back to this same confirmation / order number. This number will be referenced on the invoice and can be used in the Order History and Order Status functions found on the My Account page.

Below is a table that shows when your package will arrive depending on which FedEx or UPS shipping method you use. All web orders placed before 6:00 p.m. CST will be shipped same day.

Products Page
There are two ways to use this page. First, you can place you mouse over the “Products” title on the blue bar towards the top of the web site. The web site will respond by showing you a list of printer manufacturers. If you slide you mouse down over that list, the site will show you different model families for the manufacturer that you are currently over. Slide you mouse over the printer family of your choice and left click and the site will show you a list of all the specific models available on the site. When you click on a model the site will show you the different types of parts available and clicking on type of part, Fusers for instance, will show you the specific part numbers available. If you click on the part number it will take you to the screen where you can see the part in question, if a picture is currently available, and select from the available options that match, whether they be OEM, refurbish, etc. Most parts on the site also have a diagram available that shows the part being used in the appropriate assembly. Simply click on the “Printer Diagram” link to see the picture.

The other way to get to the products page is to left click on the “Products” title on the blue bar. This will take you to the Printer Part Search page. Here, you can elect to search by part number if you know some or all of the part number that you desire, or, you can also search by Model. So, if you wanted to find parts for a HP LaserJet 4200 you would enter “HP LaserJet 4200” into the search window and click on “Search”. Please note that the site tries to make sure that all searches are completed quickly. If a search returns too many records back, the site will limit the response and let you know that there are more records of data than can be accommodated. If your information is not returned from your search, please enter more information so the search can be more specific.

By clicking on the “My Account” title in the upper right hand corner of the window, you will be taken to the My Account page. From here you can manage your password, your carts including deleting carts and adding items to a cart, checking out, any reporting that you might require regarding Order History, RMS Status or Order Status and access a number of online forms including: Managed Print Solution information, Tech Support questions, Part Quotes, Customer Feedback, Training Registration and information on our Warranty and Return Policy. If you have not logged in yet, the system will have a link in the upper right hand corner of your screen titled “Login”. Click on this to go to the login screen where you can enter your user ID and password. If you forgot your password, you can click on the “Forgot Password” link. This will prompt you for your user ID and then prompt you for an answer to a security question. If you are able to complete this effort successfully, the system will email you a new password that you will need to change the next time you login.

To Logout, simply click on the logout link in the upper right hand corner of the screen. This will log you out of the system and secure all your information. If you have trouble with the login or logout functions at any time, you can call (800) 886-6688 for further assistance.

The system is configured to meet the security requirements of the credit card industry. In an effort to protect your information, you will be logged off after a period of inactivity. It is a good practice to log off the system if you are going to be away from your PC for any length of time to prevent others from seeing your information on your PC monitor from this or any site. To access the site again, just enter your user ID and password and the site will bring you back online. Overview of how the new web site allows customers to manage multiple users
The web site is set up to allow organizations that have to manage ordering from a number of employees an opportunity to control that process more effectively. The system does this by assigning all users to “roles”. Role types vary in their authority. For instance, users may be added as a Shopper, which allows them access to part information and availability information. Shoppers may also enter order demand but cannot approve or check out their carts. Any order demand placed by a Shopper needs to be approved by a Customer Administrator.

Users may also be setup in an “Accounting” role. In this role, users are able to see RMA’s, Order Statuses, Past Orders or Invoices and are also able to see part information. Users that need access to more functions may be setup in a “Purchaser” role. These users have all the rights of the Shoppers and Accounting roles but are also able to approve their own carts and perform order checkout duties. By default, all users are originally setup by the system as “Purchaser” unless otherwise specified.

Finally, users may be setup as Customer Administrators. This role has access to all the same rights as the Purchaser role but also may do user setup. In this process, the Customer Administrator may add, update and delete users as well as assign them to specific roles. If a customer needs a user setup as a Customer Administrator, please call your account rep at (800) 886-6688 for further assistance. Only Parts Now! web administrators can setup a Customer Administrator.

If a user is setup as a Customer Administrator, they will have the ability to see and approve multiple carts from their own orders as well as any orders waiting for processing from other members of their own organization. To see the carts that can be processed, click on “My Account” in the upper right hand corner from any screen. When you are presented the My Account information, select “Manage Carts” towards the middle of the screen. This will bring up any carts that are currently available.
 
The system presents carts complete with the cart name as assigned by the ordering individual. The cart name defaults to the date and time that the cart is saved for convenience. A status is shown for every cart. Carts must be approved before they can be processed. The Administrator can also choose to delete carts, open carts to perform updates or add/delete items to the cart. The Administrator may also combine carts. To combine carts, select the carts that you would like to combine together and then select “Combine”. The system will then combine the contents and quantities into a single cart that can be shipped economically and efficiently.

If a user is setup as a Customer Administrator, they will have the ability to manage shipping addresses for the customer. To perform shipping address maintenance, click on “My Account” in the upper right hand corner from any screen. When you are presented the My Account information, select “Account Information” towards the middle of the screen. This will bring up the screen allowing address maintenance to be performed. Addresses may be named for easy access during check out time.
